AGM report
Our 2021 AGM was held on March 22nd. Like so many things for the last year, we were not able to meet in person, but it was great to see over 35 people on Zoom. The meeting was a chance for us to look at plans for starting sailing again during 2021 and to report on the various things which have been going on in the background during the last year.
Finance and Fund Raising John Wilkinson
Grant funding and donations received in 2021 will cover budgeted expenditure this year including the costs involved in returning to sailing activity. Suffolk Community Foundation have been major grant contributors and we pass on our thanks to them for their invaluable support during this difficult period.
Operations - Peter Hibberd
Car parking changes
- Anglian Water have installed a new Pay and Display barrier with ANPR in force
- On arrival take a ticket, go to the AW office with the WP Membership card and register vehicle number plate
- When number plate has been programmed the barrier will open automatically in future
Compound extension
- Anglian Water have given WP extra space and the fence will be installed to secure the new area of the compound
Boats, equipment, buildings Alton Water
- Volunteers required (teams of max six people) to clean boats, check rigging, fit bow fenders.
- Clubhouse interior and contents need cleaning
- Clubhouse and shed require painting
Boats at Woolverstone
- Wheelyboat needs cleaning and preparation to go afloat
Re starting Sailing (subject to Covid roadmap and rules)
New process
- There will be a one way system in the compound
- A gazebo will be erected at the beginning and end of each session in the compound for registration
- Mobile sanitiser stands will be in use
- The clubhouse will remain shut so the only catering available is at the AW café for takeaways
- AW toilets will be open including the disabled toilet but the key is held by a member of AW staff.
Sailing management issues
- Expanding sailing activity will be done slowly and in accord with Covid requirements
- To help with maintaining social distancing all sessions will have to be pre-booked so numbers can be controlled in line with WP capability to manage them
- Those who have pre-booked using Sailing Club Manager will be met in the car park by a WP Marshall who will be in radio contact with the compound
- Retaining existing bubbles may require support from carers/households when hoisting and putting sailors in and out of boats.
- Boat recovery procedures need further research.
Equipment
- Hoists and slings, clothing, buoyancy aids etc all need to be sanitised before and after use
- We will, subject to discussion, be allowing sailors/carers to keep sailing gear and take it home thereby reducing the covid risks and cleaning requirements
- Consideration will be given to help sailors purchase their own clothing and buoyancy aids
- Sailors will need to come for sessions already dressed appropriately
Boat Refurbishment
- All boats at Alton are or will be ready to go with the Hansa fleet refurbishment completed
- The new Sonar (which replaces the Hawk) is coppercoated, the outboard bracket and instruments and new furling gear will be completed before the boat is launched next month
Training in 2021
A range of courses are being considered including a PB2 refresher, safety boat training, sailing courses for carers and for new volunteer buddies.
Sailing Plans for 2021 Graham Seabrook
Commencement of sailing will be gradual and in line with the government roadmap. Sailing Club Manager (SCM) will be used for all bookings. All volunteers to renew their membership on SCM and qualifications and training records to be updated as follows:
- First aid, powerboat, safety procedures, hoist operation, disability awareness, tractor usage, emergency procedures etc
There is a new DBS policy and process to keep in line with RYA guidance.
- 4th May Wheelyboat at Woolverstone - schools and households invited (SI plus 1 crew)
- 17th May Pre-booked sailing at Alton W for independent sailors and households in bubbles (no buddy sailing ) (SI plus 5/6 volunteers)
- 20th May Restart youth group on Thursday evenings
- 25-28 May Sonar launch and familiarisation
- 1st June Sonar sailing (DI plus 1 crew)
- 21st June Restart adult open sailing at Alton Water
Other business
Belated 25 th Anniversary plans for next year to include a further Maritime Film Festival and perhaps include a literary festival the provisional date for this event is 3rd to 6th March 2022.
The Chairman recorded WP thanks to RHYC for their continued and generous support which includes winter storage for boats, use of their facilities for hospitality and other help and advice. RHYC will also allow WP to use their address as the WP registered office.
